Experienced HVAC Service Coordinator – Long Island, NY (Garden City Park, NY)

Summary:

In this HVAC Service Coordinator role, you'll oversee the daily activities of 20+ commercial HVAC field service technicians and serve as the primary point of contact between customers, technicians, and service leadership.

We're looking for an experienced HVAC service professional who understands commercial HVAC equipment well enough to interpret what customers and technicians are describing, prioritize urgent service needs, and assign the right technician based on their skills and experience.

This is an experienced, fast-paced role requiring strong organization, sound judgment, professional communication, and the ability to manage frequent interruptions and changing priorities.

Responsibilities & Qualifications:

• Dispatch 20+ commercial HVAC field technicians daily based on technician skill level, location, and call urgency

• Receive and triage incoming emergency service requests and communicate accurate response expectations to customers

• Develop and maintain daily and weekly service schedules

• Contact preventative maintenance contract customers to schedule service visits and ensure contract obligations are met on time

• Purchase materials for maintenance work, including creating purchase orders and placing orders with supply houses

• Enter technician time accurately into the ERP system and meet payroll deadlines

• Maintain detailed records for preventative maintenance customers, including site contacts, installed equipment, and recurring issues

• Follow up with customers and vendors and keep customer account information current

• Serve as the day-to-day communication link between field technicians, customers, and service leadership

• Multiple years of dispatching or service coordination experience within a commercial HVAC or mechanical service department

• Working knowledge of HVAC system components and their operation

• Experience ordering HVAC parts and equipment from supply houses

• Experience with a field service management or ERP platform such as ECI GlobalEdge

• Strong judgment when prioritizing competing service demands

• Professional composure and strong verbal communication skills when working with customers under pressure

• Strong organizational skills and ability to establish and maintain effective processes independently

• Ability to manage frequent interruptions and shifting priorities throughout the day

Preferred, But Not Required:

• Prior field experience in the HVAC/mechanical trade

• Familiarity with union labor environments

• Experience supporting preventative maintenance contract programs

Schedule: Monday–Friday, 8:00 AM–5:00 PM, with an unpaid one-hour lunch

Work Location: Long Island, NY – In office, no remote work

Pay Range: $35–$40 per hour
