About this role

Cool Zone Air Conditioning & Heating is seeking an organized, customer-focused Office Manager to keep our growing HVAC business running smoothly. This role is the backbone of our daily operations, from scheduling and dispatch to customer communication and administrative support.

Responsibilities:

- Answer incoming calls, schedule service appointments, and dispatch technicians

- Manage customer records, invoicing, and follow-ups

- Coordinate technician schedules and routes

- Handle accounts payable/receivable and basic bookkeeping

- Order parts and manage office/inventory supplies

- Support the owner with day-to-day administrative tasks

Qualifications:

- 2+ years of office management or administrative experience (home services or trades a plus)

- Strong organizational and multitasking skills

- Excellent phone and written communication

- Proficiency with office software and scheduling/CRM tools

- Friendly, professional, and dependable
