    Position: Mitigation & Restoration Coordinator

    Location: Troutdale, OR

    Join Apollo Plumbing, Heating & Cooling's growing team in Troutdale, Oregon. We are seeking an experienced Mitigation & Restoration Coordinator to help manage water mitigation and restoration projects from initial customer contact through project completion. This role is ideal for someone who thrives in a fast-paced environment, enjoys helping customers through challenging situations, and can effectively coordinate technicians, schedules, documentation, and communication between all parties involved.

    Duties & Responsibilities

    Project Coordination

    • Coordinate water mitigation and restoration projects from initial customer contact through project completion

    • Schedule technicians, subcontractors, inspections, and follow-up visits

    • Monitor project timelines and ensure work progresses efficiently

    • Coordinate equipment delivery, pickup, and tracking

    Customer Communication

    • Serve as the primary point of contact for customers throughout the mitigation and restoration process

    • Provide updates regarding schedules, project status, and next steps

    • Handle customer questions and concerns with professionalism and urgency

    • Deliver a high level of customer service during stressful situations

    Insurance & Documentation Support

    • Assist with collecting project documentation, photos, and job records

    • Coordinate communication between customers, technicians, insurance representatives, and office staff

    • Maintain accurate project files and records

    • Ensure documentation is completed accurately and submitted on time

    Technician Support

    • Provide field teams with job details, schedules, and customer information

    • Monitor project progress and assist with scheduling adjustments

    • Communicate project updates between the field and office teams

    • Assist with problem-solving and project coordination as needed

    Work Order Management

    • Create, update, and maintain work orders and project records

    • Track project milestones and ensure documentation is completed accurately

    • Coordinate follow-up services and project closeout activities

    • Verify project statuses and update records in real time

    Administrative Support

    • Maintain customer records and project files

    • Assist with reporting, data entry, and office coordination

    • Support department workflow and communication

    • Coordinate with multiple departments to ensure a smooth customer experience

    Performance & Reporting

    • Provide feedback to management on workflow improvements and project coordination efficiencies

    • Help identify opportunities to improve communication, scheduling, and customer satisfaction

    Key Skills & Qualifications

    • Previous restoration, mitigation, project coordination, dispatching, or construction administration experience required

    • Familiarity with Xactimate and restoration industry workflows preferred

    • Understanding of mitigation processes, including equipment deployment, monitoring, pickup, and project coordination

    • General knowledge of insurance-related documentation and claim processes

    • Strong organizational and multitasking abilities

    • Excellent communication and customer service skills

    • Ability to manage multiple projects simultaneously

    • Strong attention to detail and documentation skills

    • ServiceTitan experience preferred but not required

    • Strong computer and data entry skills

    • Ability to coordinate effectively with customers, technicians, subcontractors, insurance representatives, and office staff

    • Comfortable working in a fast-paced environment with changing priorities
