About the Role

At Advanced Air Conditioning & Heating, every great customer experience starts with the first conversation. As our Client Care Representative, you'll be the first point of contact for homeowners calling, texting, or reaching out online. Your ability to build trust, respond quickly, and schedule appointments efficiently directly impacts our customers' experience and our team's success.

This role is more than answering phones—you're responsible for keeping our schedule full, following up on opportunities that haven't been booked, and ensuring every customer feels taken care of from their very first interaction. We're looking for someone who thrives in a fast-paced environment, enjoys helping people, communicates with confidence, and takes ownership of their work without needing constant direction.

$18–$22 per hour, depending on experience.

What You'll Do

• Answer inbound customer inquiries by phone, text, email, web forms, and online messaging platforms.

• Schedule service, maintenance, and estimate appointments accurately using ServiceTitan.

• Monitor AI-assisted lead responses and personally assist customers who need additional support.

• Make outbound calls to fill open appointments and follow up with customers who haven't scheduled service.

• Follow up on outstanding estimates to help convert opportunities into booked work.

• Keep the schedule organized while ensuring appointments are booked quickly and accurately.

• Learn company services, memberships, pricing, and promotions so you can confidently assist customers.

• Track personal performance metrics including booking rate, cancellation rate, speed-to-lead, and follow-up completion.

• Deliver an exceptional customer experience by communicating professionally, empathetically, and with urgency.

Qualifications

• High school diploma or equivalent.

• Previous experience in customer service, call center, scheduling, or administrative support preferred.

• Experience with ServiceTitan or similar field service software is a plus.

• Home service, HVAC, plumbing, electrical, or trades experience is preferred but not required.

• Must pass a background check and pre-employment drug screening.
